Credential Terms & Conditions
1. QUALIFICATIONS
New York Road Runners ("NYRR") provides media passes and credentials to the following:
1) Working Press: Individuals who are in the business of newsgathering as their primary source of revenue. Members of the working press are defined as those who are full-time, paid employees or representatives of known and established media organizations, including newspapers, magazines, wire services, television stations, radio stations, and websites. Membership in a writers' or broadcasters' association does not automatically qualify an agency or individual for accreditation.
2) Freelance Media: Journalists, photographers, videographers, or internet reporters who are on a specific assignment from a known and established media organization.
3) Special Projects: Individuals or groups who are involved in the creation of any film project, no matter what medium, including but not limited to documentaries, student projects, feature films, festival films, and personal projects following an individual runner or professional. The existence or non-existence of distribution is not considered part of the definition.
Media credentials are not intended for those who sell photographs, footage, or images. Credentials will not be issued to those involved in commercial ventures, unless written consent and specific approval is obtained from NYRR.
All applicants must complete the online accreditation form, which includes a section to detail coverage plans. All Special Projects must be prepared to submit a synopsis, talent/crew list, distribution plan, and budget if requested. Access to certain areas may require additional personal information.
2. APPLICATION DEADLINE
Applications and all requested supplementary documentation must be submitted by the established deadlines. NYRR cannot guarantee that incomplete applications or those submitted after the deadline will be considered for credentials. Waiving of deadlines is solely at NYRR discretion. The decision to do so will be based in part on the size of the media outlet, the relationship between the outlet and NYRR, and the intent of the coverage.
3. APPROVAL PROCESS
Media representatives will receive notification of credential approval solely via e-mail. Receipt of credentials in prior years does not guarantee credentials for this event. Credentials will not be mailed.
NYRR will use the following criteria to determine priority when issuing credentials:
1) Wire services
2) Major print publications and websites, national television sources, and prominent national radio stations
3) Significant local print, web, television, and radio outlets, and trade publications
4) Daily newspapers, magazines, specialty publications, and television stations based on:
a. Circulation (particularly those with a large circulation and/or a large national audience)
b. Approved story content
c. Hometown/local publications of large or moderate size covering a local angle
5) Special film or video productions that are authorized
4. CREDENTIAL USAGE
NYRR media passes and credentials are non-transferable and may not be duplicated or reproduced in any manner. They may not be given or loaned to another person. Credentials must be worn at all times and must be in the possession of the person named on the application. NYRR reserves the right to revoke passes or credentials at any time.
No personal cameras -- including but not limited to still cameras, video cameras, digital, film or video tape medium, or any other recording process or medium developed in the future -- will be permitted in any of the media work spaces or areas where media accreditation provides access. Use of cell phone cameras to capture images of the event or professional athletes or celebrities is considered an infringement of ownership. NYRR reserves the right to revoke credentials for unprofessional behavior or conduct.
5. CREDENTIAL ACCESS
Access to media work areas is restricted to credentialed journalists and photographers covering the event. Besides media staff members and event staff, only athletes and coaches participating in news conferences, interviews, or media teleconference calls are allowed in media work zones.
In some instances, NYRR will allow non-journalists and non-athletes access to these areas. Those who require a special one-time pass include: non-media volunteers, sponsors, race and city officials, and managers. Those who fit within these categories should arrange in advance to receive passes from the NYRR media staff. Note: Passes are not credentials and, thus, will not give a person access to restricted areas. Non-media should contact the appropriate NYRR contact to obtain a credential for the event.
6. GENERAL COVERAGE POLICIES
Accredited photographers, broadcast outlets, and special projects who wish to cover NYRR events will observe the following:
1) Be on assignment from a recognized organization and use professional equipment.
2) Adhere to the assignments and restrictions enumerated by NYRR prior to and specific to the event or race for which accreditation has been approved.
3) Obey all the instructions distributed during credential check-in. It is the credentialed media’s responsibility to be familiar with these instructions.
4) Only use images or footage taken at an event, including those of athletes competing, for editorial purposes or for purposes outlined and documented in pre-race agreements.
In addition, the following rules must be observed at all times:
1) No standing on the course while runners are competing.
2) Keep a respectful distance in the event of a medical emergency.
3) No climbing fences, traffic or streetlight poles, trees, or other structures.
4) Respect and adhere to any directions or restrictions from NYRR location managers, production associates, or security personnel, including but not limited to restrictions that were not listed on credential instructions or enumerated in previous briefings or conversations. Their instructions are not subject to negotiation, appeal, or arbitration.
Accredited media who fail to adhere to the above guidelines will have their credentials confiscated and will run the risk of losing privileges to cover NYRR events in the future.
7. PHOTOGRAPHERS
As a condition of accreditation, images and footage may not be sold to third parties, including but not limited to companies, organizations, or individuals. All photographs taken at the event are solely for use by the organization for which an individual is credentialed, unless he/she is otherwise given written consent by both NYRR and the outlet for which he/she is credentialed.
The use of such photographs for advertising or any other commercial or merchandising purposes, such as books, posters, cards or in any medium or manner whatsoever without prior written consent of NYRR is prohibited. Additionally, the use of such photographs for publication or materials other than by the approved media outlet listed on the credential is not allowed without permission from NYRR and the assignment editor.
8. BROADCAST
Broadcast outlets wishing to cover NYRR events are subject to guidelines and restrictions in accordance with the rights of the broadcast rights holder. Prior to an event, NYRR will determine the exact restrictions. These restrictions will be communicated in advance of the event to the local affiliates and other non-rights holding broadcast media.
9. SPECIAL PROJECTS
"Special Projects" are any documentary, feature film, student film, editorial spread, or other project requiring additional supervision or assistance. All Special Projects are subject to guidelines and restrictions in accordance with the rights of the broadcast rights holder as well as any restrictions or requirements delineated by NYRR. Prior to an event, NYRR will determine the exact restrictions. These restrictions will be communicated in advance of the event.
The use of such special project footage for advertising or any other commercial or merchandising purposes without prior written consent of NYRR is prohibited. Additionally, the use of such special project footage for publication, distribution, or materials other than by the approved organization listed on the credential is not allowed without permission from NYRR.
